That mistake cost us a $22,000 redo and delayed a customer's launch. Since then, I've made entity verification step one in every order.
2. Start with the serial number, not the model name
Model names are unreliable. Serial numbers are not. When I get a request for a Kubota skid steer part, I ask for the serial number first. Why? Because Kubota changes production details mid-cycle. If the request says 'Westinghouse generator,' my first question is: what is it powering? A portable generator can run lights and power tools. It might not be safe for a site office full of computers, battery chargers, and a microwave. Wattage is not the only number. Check voltage regulation, frequency stability, and total harmonic distortion (THD).
A spec with a great standby wattage rating but no THD value is a red flag. I approved a same-brand generator swap based on wattage alone. Hit confirm, then immediately wondered: did I miss the voltage regulation spec? Didn't relax until it passed a load-bank test. It passed, but only because I got lucky. Load-bank results are better than luck.
5. Know what 'two stage air compressor' means before comparing
Let's answer the question directly: what is a two stage air compressor? A two-stage air compressor compresses air in two steps. The first cylinder pulls in ambient air and compresses it to an intermediate pressure. That air is then cooled before it enters the second cylinder, where it's compressed again to the final pressure. Because the air is cooled between stages, the compressor can achieve higher pressures and better efficiency than a single-stage unit.
But 'two-stage' alone isn't a specification. You still need CFM at the working pressure, duty cycle, and tank size. I've seen purchase orders for 'two stage air compressor' with no CFM. CFM is the number that matters. If a supplier says it's 'equivalent' to a two-stage model you used before, ask for the flow curve. Not ideal, but workable? Actually, no. A flow curve is the only workable answer.
6. Trace part number changes to the current catalog
Replacement parts change. A part number that worked in 2018 may have been superseded twice by 2025. That's why I always verify against the current parts catalog before approving an order. If a machine builder publishes a supersession list, use it. 'Equivalent' is not the same as 'superseded.' An equivalent part may fit. A superseded part is the official replacement.
The third time we ordered the wrong quantity due to an outdated part number, I finally created a verification protocol. In 2022, I implemented a simple rule: no part goes into the system without a current catalog reference and a supersession check. It's not glamorous. It cut our spec mismatches by a third.
7. Close the loop with certification paperwork
I call this step 'paperwork before product.' If a product is claimed to be a certain grade, material, or performance level, the certification should be attached to the specific serial number or batch. A generic certificate of conformance with no batch number isn't proof. It's a piece of paper.
The same logic applies to environmental and performance claims. Per FTC guidelines, claims in advertising have to be substantiated (ftc.gov). I apply that same standard to technical claims. If a supplier says 'certified for underground mining use,' I want to see the standard, the test lab, and the date. If it's not there, I treat it as unproven.
Mistakes I Still See on Purchase Orders
Let me end with a few recurring mistakes. They're not complicated. They're just expensive:
- 'Same logo, same part.' No.
- 'Looks like the one in the picture.' Not enough.
- 'It's the same, trust me.' Trust but verify.
